This explains what personal information I collect when you book 1-2-1 cricket coaching, why I hold it, and what you can do about it. I'm Dimitri Nicolaides, an ECB coach at Old Rutlishians Cricket Club, and I'm the person responsible for this data.

What I collect

When you book a session I collect:

Before the first session I'll also ask for an emergency contact and any medical or allergy details. I only use this to keep your child safe during coaching, and I keep it to the minimum I need. I also keep coaching notes on your child's development so I can plan sessions and track progress.

Why I hold it and my lawful basis

I use this information to arrange and run your child's coaching, to contact you about sessions, and to keep your child safe. The lawful basis is your consent, which you give when you tick the box on the booking page. You can withdraw it at any time.

How long I keep it

Since all sessions must be used by the end of the 2026 season, I only keep your data, including the emergency contact and medical details, until then. I delete all of it by 31 December 2026. If you ask me to delete it sooner, I will. If you book again in a future season, I'll collect fresh details at that point.

Who can see it

I don't sell your data or share it for marketing. I only pass it on in two situations:

How it's kept safe

The data sits in a secure database with access controls, and the coaching tracker I use is password protected. Only I can see the booking and player records.

Your rights

You can ask me to show you what I hold about you or your child, correct anything that's wrong, or delete it. Just email me and I'll sort it, normally within a month. If you're not happy with how I've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
